Holiday Schedules
With holiday schedules, you can keep track of days off, create your own holidays and, with Working Schedules configured, holidays get subtracted from base capacity. You can still log time on holidays if work was performed. Every user can be assigned to a holiday schedule, which can be created for almost every country and, for some countries, even specific regions.
Holiday schedules are created for the current year, as well as the upcoming years. This happens automatically; when the current year ends, the schedule for the upcoming years will be generated as well.
It is possible to make changes to a holiday schedule, like adding new and deleting existing holidays and changing the duration of a holiday.
Changes made to holiday schedules only apply to the selected year's schedule. The newly generated schedules will not contain these changes such as custom holidays.
How Holidays Affect Capacity
When a holiday falls on a scheduled work day:
The day's hours are subtracted from weekly capacity
Team members can still log time if they worked that day
Reports and timesheets show the adjusted capacity
The status bar reflects reduced weekly capacity
Working Schedules + Holidays
Holidays work together with Working Schedules to calculate net capacity:
Working Schedule defines base capacity (when you work)
Holiday Schedule reduces capacity (when you don't work)
Net capacity = Working Schedule - Holidays
Create a holiday schedule
New holiday schedules will be created for the selected year and the upcoming years.
Under Capacity management, find Holiday schedules.
Click on + Add holiday schedule.
Select from which year on you want to create a holiday schedule.
Click on Add holiday schedule.
Select a country. You cannot select a country that already has a schedule for the selected year.
If the country supports it, select a region.
Click on Save holiday schedule.
In the modal, click on Save holiday schedule.
Edit holidays
Select for which year you want to edit a schedule's holidays.
Click on the three dots next to the holiday schedule.
Click on Edit holiday schedule.
Click on Add row.
Change the name of the holiday using the inline edit input.
Click on the date to select a new one.
Change the amount of hours using the time input.
Repeat step 4 to 7 for every new holiday, or 5 to 7 for existing holidays.
Click on Save holiday schedule.
In the modal, click on Save holiday schedule.
Changes made to a holiday schedule will only apply for the selected year and will not be taken along to schedules for upcoming years.
Delete holidays
Select for which year you want to delete a schedule's holidays.
Click on the three dots next to the holiday schedule.
Click on Edit holiday schedule.
Click on the bin at the end of the holiday you want to delete.
Repeat step 4 for every holiday you want to delete.
Click on Save holiday schedule.
In the modal, click on Save holiday schedule.
Delete a holiday schedule
Select from which year on you want to delete a holiday schedule.
Click on the three dots next to the holiday schedule.
Click on Delete holiday schedule.
In the modal, after reading the warning, click on Delete holiday schedule.
Set a default holiday schedule
Select from which year on you want to make a holiday schedule the default.
Click on the three dots next to the holiday schedule.
Click on Set as default.
The default schedule will be assigned to everyone who does not have a schedule assigned yet. You can overwrite this by assigning them to another holiday schedule.
Unset a default holiday schedule
Select from which year on you want to unset a default holiday schedule.
Click on the three dots next to the holiday schedule.
Click on Unset as default.
Assign a holiday schedule to a user
In the App settings, go to Teams and people.
Find the user you want to assign to a holiday schedule.
Under Holiday schedule, select an existing schedule. You can also create a new one from here.
Remove a holiday schedule from a user
In the App settings, go to Teams and people.
Find the user you want to remove from a holiday schedule.
Under Holiday schedule, click on the x.
If you have a default holiday schedule set, it will change the assigned schedule to the default.
