Holiday Schedules

With holiday schedules, you can keep track of days off and create your own holidays. Every team member can be assigned to a holiday schedule, which can be created for almost every country and, for some countries, specific regions. You can still log time on a holiday if work was performed.

Holiday schedules are created for the current year and the upcoming years. This happens automatically: when the current year ends, the schedule for the upcoming years is generated as well.

You can make changes to a holiday schedule, such as adding new holidays, deleting existing ones, and changing a holiday's duration. Changes apply only to the selected year's schedule. The newly generated schedules will not contain these changes, such as custom holidays.

Key Concepts

Holiday duration

Each holiday has a duration, which you set in the Duration column when you edit a schedule. You choose between two options:

  • Full day: the holiday lasts the entire day, from 00:00 to 24:00.

  • Custom period: the holiday covers part of the day. It defaults to 12:00 to 24:00, and you can adjust the start and end times.

The duration is derived from this selection.

How holidays reduce capacity

Tracket reduces capacity by overlaying the working schedule and the holiday schedule. The overlap between the two is the part removed from capacity. This keeps reductions accurate when a team member's hours do not match a standard 8-hour day. The reduced capacity is reflected in your timesheets, reports, and the weekly status bar.

A fixed number of hours does not always fit. Two examples show why the overlap matters:

  • A team member on a 36-hour contract works 9 hours a day across four days. A full-day holiday on a working day removes all 9 scheduled hours for that day, not a fixed 8.

  • A team member works mornings only, from 08:00 to 12:00. A Custom period holiday set for the afternoon, 12:00 to 24:00, does not overlap the morning hours, so it removes no capacity that day.

Holidays on your timesheet

When a holiday falls on a day in your timesheet, a flag icon appears on that day. Hover over the flag to see a tooltip with the holiday name, whether it is a full day or the custom time frame, and the capacity it deducts. The flag and tooltip appear in all timesheet views.

At the bottom of the timesheet, each day shows the holiday deduction applied to that day. You can still log time on a holiday if you worked.

Create a holiday schedule

New holiday schedules will be created for the selected year and the upcoming years.

  1. Under Capacity management, find Holiday schedules.

  2. Click on + Add holiday schedule.

  3. Select from which year on you want to create a holiday schedule.

  4. Click on Add holiday schedule.

  5. Select a country. You cannot select a country that already has a schedule for the selected year.

  6. If the country supports it, select a region.

  7. Click on Save holiday schedule.

  8. In the modal, click on Save holiday schedule.

Edit holidays

  1. Select for which year you want to edit a schedule's holidays.

  2. Click on the three dots next to the holiday schedule.

  3. Click on Edit holiday schedule.

  4. Click on Add row.

  5. Change the name of the holiday using the inline edit input.

  6. Click on the date to select a new one.

  7. Change the amount of hours using the time input.

  8. Repeat step 4 to 7 for every new holiday, or 5 to 7 for existing holidays.

  9. Click on Save holiday schedule.

  10. In the modal, click on Save holiday schedule.

Changes made to a holiday schedule will only apply for the selected year and will not be taken along to schedules for upcoming years.

Delete holidays

  1. Select for which year you want to delete a schedule's holidays.

  2. Click on the three dots next to the holiday schedule.

  3. Click on Edit holiday schedule.

  4. Click on the bin at the end of the holiday you want to delete.

  5. Repeat step 4 for every holiday you want to delete.

  6. Click on Save holiday schedule.

  7. In the modal, click on Save holiday schedule.

Delete a holiday schedule

  1. Select from which year on you want to delete a holiday schedule.

  2. Click on the three dots next to the holiday schedule.

  3. Click on Delete holiday schedule.

  4. In the modal, after reading the warning, click on Delete holiday schedule.

Set a default holiday schedule

  1. Select from which year on you want to make a holiday schedule the default.

  2. Click on the three dots next to the holiday schedule.

  3. Click on Set as default.

The default schedule will be assigned to everyone who does not have a schedule assigned yet. You can overwrite this by assigning them to another holiday schedule.

Unset a default holiday schedule

  1. Select from which year on you want to unset a default holiday schedule.

  2. Click on the three dots next to the holiday schedule.

  3. Click on Unset as default.

Assign a holiday schedule to a user

  1. In the App settings, go to Teams and people.

  2. Find the user you want to assign to a holiday schedule.

  3. Under Holiday schedule, select an existing schedule. You can also create a new one from here.

Remove a holiday schedule from a user

  1. In the App settings, go to Teams and people.

  2. Find the user you want to remove from a holiday schedule.

  3. Under Holiday schedule, click on the x.

If you have a default holiday schedule set, it will change the assigned schedule to the default.
