Introduction

Approvals let you add a review step to your team's timesheet workflow. When a user submits their timesheet, it locks and becomes available for an admin to review. The admin can approve, reject, or reopen it. Approved timesheets provide a reliable record of worked hours that everyone has signed off on.

After a timesheet is submitted, any monday.com admin or Tracket team admin with access to the team can review it. Admins manage approvals from Team > Approvals or directly from the timesheet view.

As of May 5, 2026, timesheets are no longer submitted to a single assigned approver. Instead, any monday.com admin or Tracket team admin who is part of the same team as the timesheet owner can review and approve that timesheet. This prevents timesheets from remaining in a submitted state when a specific approver is unavailable.

The person who last acted on a timesheet is visible in the timesheet status bar and in the Approver column in the Team > Approvals overview.

Enable approvals

Approvals are enabled by default. A monday.com admin can turn this on or off in the App settings under Time management.

  1. Under Controlling, find the Timesheet approvals settings.

  2. Click the toggle to activate or deactivate timesheet approvals.

Disabling approvals will not remove existing approvals. After disabling approvals, a timesheet that was locked still cannot be altered.

Approval settings

Allow user to reopen their own timesheet

By default, users can reopen their own submitted timesheet to make changes before an admin has reviewed it. You can turn this off so that only admins can reopen timesheets after submission.

  1. Under Controlling, find the Reopen timesheets setting.

  2. Click the toggle to activate or deactivate this setting.

Allow approvers to approve their own timesheet

By default, monday.com admins and Tracket team admins can approve their own timesheet. You can disable this to enforce an independent review.

  1. Under Controlling, find the Self-approval of timesheets setting.

  2. Click the toggle to activate or deactivate this setting.

When disabled, an admin who attempts to approve their own timesheet will be blocked and prompted to ask another admin to review it.

Customize the status bar

Every timesheet includes a status bar with widgets that give a quick overview of the timesheet. You can personalize which widgets you see, and choose up to five at a time.

Available widgets include:

  • Timesheet status: the current approval status (only visible when approvals are enabled).

  • Worked hours: total logged hours, with an optional comparison against capacity.

  • Billable hours: breakdown of billable hours when billable categories are configured.

As a monday.com admin or Tracket team admin, you can configure the status bar separately for when you are reviewing someone else's timesheet. This lets you focus on the information most relevant for making an approval decision, without affecting your own personal status bar view.

  1. Open a timesheet via View in Team > Approvals.

  2. Click the edit icon in the status bar.

  3. Toggle the widgets you want to show or hide.

  4. Your preferences are saved automatically.
