Employee space in Confluence
Frank creates a dedicated People space in Confluence during installation. This space serves as the central location for all employee-related documentation, organized in a way that keeps things findable and properly permissioned.
How the space is structured
The People space uses a folder structure where each employee gets their own folder. When you add an employee to the employee project in Jira, Frank automatically creates a folder for them in the People space, named after the employee.
This folder becomes the home for all documents related to that person:
Their onboarding document (created automatically when they start onboarding)
Any other HR documents you want to associate with them
Performance review notes
Training records
Signed agreements
Why a dedicated space matters
Having a dedicated space for employee documentation solves several problems. Documents stay organized by person rather than scattered across different spaces. Permissions can be managed at the space level, making it easy to control who sees what. And when you need to find something about a specific employee, you know exactly where to look.
The space also provides a foundation for future features. As Frank expands into performance reviews, feedback, and other people processes, the relevant documents will be created in and retrieved from each employee's folder. Building on this consistent structure means your employee documentation stays organized as you use more of Frank.
Setting up the space
During the installation wizard, Frank offers to create the Confluence space automatically. If you skip this step, you can create the space later from Frank settings under the Confluence section. Click "Get started with Confluence" to trigger the space creation.
If your organization already has a space for employee documentation, you can configure Frank to use that space instead. The key is having a consistent location where Frank can create and find employee folders.
Permissions
The People space inherits Frank's permission model. HR and managers in the sensitive data access group can view all employee folders. Regular employees can only access their own folder. This means sensitive documents stay protected without requiring manual permission management for each document.
